6. Practice systems and digital tools we use
To operate efficiently and securely, we use trusted professional platforms.
Halaxy – Practice Management System
We use Halaxy to manage:

appointments

clinical notes

documentation
-
invoicing and payments

secure client communication
Halaxy stores information on secure, encrypted servers and complies with Australian healthcare privacy standards.
Google Workspace & Google Meet – Telehealth
For telehealth and secure communication, we use Google Workspace (including Google Meet and encrypted email).
Sessions are not recorded unless explicitly agreed to in writing.
Administrative support
Our administrative assistant may have limited access to necessary personal information for:

appointment scheduling

billing
-
client communication

practice operations
All staff are bound by strict confidentiality agreements and privacy obligations.
No AI recording or scribe tools
Unfold Psychology & Counselling does not use AI recording, transcription, or “scribe” technologies during sessions.
7. Disclosure of information
We will only share your information:
With your consent, for example:

your GP or psychiatrist

other health professionals
-
funding bodies (e.g., insurers or compensation schemes)

report recipients you nominate
Without consent only when required or authorised by law, such as:

risk of serious harm to you or others

Where possible, we will discuss this with you first.
8. Overseas storage
Some cloud-based services we use may store data on servers located outside Australia.
Where this occurs, we take reasonable steps to ensure providers meet privacy and security standards comparable to Australian law.

After this period, records are securely destroyed or de-identified.

In rare circumstances, access may be limited where permitted by law (for example, if release may cause serious harm).

This data is typically anonymous.
We do not use advertising tracking or sell data to third parties.
